What day to meet and potential of podcasts. posted: May 4, 2009 7:49 AM

After the meeting, it seemed that the day of week to meet on was a bit mixed from what I could tell but maybe I'm wrong. We loosely agreed to meet again on a Friday, but I wanted to throw up a discussion item here so everyone could discuss this a bit more if they feel the need. I'm not against Fridays by any means, but I think that is a popular day for people to take off to get a jump on the weekend at times so I didn't know how much of an impact this would have on attendance. So I guess if you have a feeling on when we should meet go ahead and post your thoughts and we can come to an agreement on something.

Also, what are people's thoughts on possibly recording the meetings in the form of podcasts or possibly doing a video recording and posting it? I don't know if the community site has limitations on how much content you can post, but it might be useful for people not able to attend the meetings. I would be willing to work on the podcasts if there is sufficient interest and somewhere to house them. I don't have the equipment to do anything from a video stand point though.

I was feeling the same about Fridays during the summer months. I'm open to any day of the week.

I'm not against a podcast but I'm wondering how much of the success of the user group will depend on attendence. Part of my concern about Fridays during the summer.

We did decide the next meeting was July 17, correct?

In my opinion, there is never going to be a good day or location for ALL members of the users group. Those that want to be active will do the best they can to make it to the meetings.

I do like the option of a audio/video recording. That would allow people to view the event as the have time for any important information. Again, if people can make it and want to be active in the group, they will be.

Is there a minimum number of attendee's required by VMware?

I know we talked about 7.17.09 for the next possible meeting day but I agree, we are not going to reach agreement on one common day to meet. I think we are going to end up mixing up the days of the week that we hold our meetings in order to allow more people to attend. In fact, we are already looking at Owens Community College for the July meeting and we cannot book the meeting room Fri-Sunday. We'll post more here when we know more information.

I do like the audio/podcast idea. As I am typing this though I see the file size and type limitations which look to eliminate posting those here on the Toledo VMUG site. Does anyone have or know of a source that would host these files for us?

Just for the record, VMUG manager (at VMware) advised that Tue-Thu were statistically the best days of the week for attendance across all the VMUG groups. Friday was selected this month because it was the earliest date Mark Richards, our SE speaker, was available after the April 21st vSphere announcement. That said, I don't have a preference either. The Pittsburgh VMUG, which is considered pretty successful, meets the 3rd Thursday every other month so people can schedule well ahead of time. The steering committee meets alternate months on a similar schedule, It should be noted that we need to submit meeting announcements to VMware VMUG no less than 30 days before the meeting date (preferably about 5 weeks) to allow the invitations to be generated, emailed, and registrations collected.

As far as meeting recordings, I think it would only be useful if someone has the appropriate recording equipment. I will make an effort to secure the presentation files for posting after the meetings.

If we record the meetings to video, couldn't we just use the audio track for the podcast? That would kill two birds at once (so to speak).

One of my additional hats that I wear at Sauder is the multimedia guy, so if we want to videotape them, I have the equipment and software.
